This notice applies only to personal data processed when you visit japansemaru.nl or contact us using the e-mail address shown on this website. It does not cover services provided through external websites or separate event registrations.

2. Personal data, purposes and legal bases
Website access. Our hosting provider automatically processes technical request data, such as your IP address, the requested page, the date and time of the request, browser or device information and error data. We use this information only to deliver, maintain and protect the website. The legal basis is our legitimate interest in operating a secure and reliable website (Article 6(1)(f) GDPR). We do not download the logs for separate analysis or use them for advertising or profiling.
E-mail enquiries. If you contact us, we process your e-mail address, your message and any other information you choose to provide. We use it to respond to and handle your enquiry. The legal basis is our legitimate interest in responding to enquiries (Article 6(1)(f) GDPR). Where we handle a request under data-protection law, processing is necessary to comply with our legal obligations (Article 6(1)(c) GDPR).
Google Maps. The map is not loaded automatically. If you choose to load it, your browser connects to Google and sends technical information such as your IP address, browser or device information and request data. The legal basis for loading the map is your consent (Article 6(1)(a) GDPR). Loading the map is optional and is not required to use the rest of the website. A transmission that has already occurred cannot be reversed; after reloading the page, the map remains blocked unless you choose to load it again.
We do not use analytics or advertising tools and do not make automated decisions or create visitor profiles.
3. Retention
- Server logs: we do not retain a separate copy. The hosting provider retains them according to its operational and security schedule and deletes or anonymises them when they are no longer needed for those purposes.
- E-mail enquiries: 12 months after the last communication, unless longer retention is necessary to comply with a legal obligation or to establish, exercise or defend a legal claim.
- Google Maps: Google determines its own retention periods under its privacy policy.
4. Recipients
We disclose personal data only where necessary to providers that support the operation of this website and our e-mail service. The recipient categories are hosting and infrastructure providers and e-mail service providers. Google receives technical data only if you choose to load Google Maps. We do not sell personal data.
5. International transfers
The website’s primary server is located in the Netherlands. Some service providers or their subprocessors may process personal data outside the European Economic Area. Where we are responsible for such a transfer, we use an adequacy decision or appropriate safeguards, such as the European Commission’s Standard Contractual Clauses. Contact us if you would like information about the safeguards applicable to your data.
If you choose to load Google Maps, Google processes the resulting data under its own Privacy Policy, Google Maps Terms and applicable data-transfer arrangements.
6. Is providing data required?
Providing information in an e-mail and choosing to load Google Maps are optional. Technical request data is necessarily processed when your browser requests a page; without it, the website cannot be delivered to your device.
7. Your rights
Depending on the circumstances, you may have the right to:
- access, rectify or erase your personal data;
- restrict its processing;
- receive your data in a portable format, where applicable;
- object to processing based on legitimate interests; and
- withdraw consent at any time, without affecting processing that took place before withdrawal.

8. External links
This website contains links to external websites, including delivery, social-media and event services. Displaying an ordinary link does not send your personal data to that service. If you follow a link, the external service processes your data under its own privacy policy.
